The usual technical cause
Many forms send through a website server using an address that does not authenticate correctly for the domain. Others put the visitor’s email address in From, which can look like spoofing. Some messages are sent but filtered, forwarded to an old mailbox, or routed to a CRM integration that has failed.
What a visitor experiences
The visitor fills out the form, sees a thank-you message, and waits. If they do not hear back, they are likely to contact another provider rather than troubleshoot your website. For a local service business, a few invisible missed inquiries can outweigh the cost of maintaining the site properly.
A practical test
- Submit a test from a personal Gmail and Outlook address.
- Check the website confirmation, notification mailbox, spam folder, CRM, and any automation.
- Review the message headers to see which server sent it and whether authentication passed.
- Use a domain-owned From address; place the visitor email in Reply-To instead.
- Test again after any hosting, form-plugin, CRM, or workspace change.
