The people working at a course can change faster than the information they need. An event checklist should not disappear when a seasonal coordinator leaves, and a temporary team member should not need access to every business document.

Organise by responsibility

Start with the groups that actually work together: events, clubhouse operations, and business administration. Give each a clear place for current information and identify the person who maintains it. Avoid placing supplier agreements and public event schedules in the same broadly shared location. Write down which documents a new seasonal employee needs on day one.

Keep repeatable work with the business

Use team-owned shared drives where your Workspace edition supports them. Keep approved event templates separate from copies used for individual tournaments. Name documents so staff can distinguish the current version from last season’s notes. Assign a permanent owner to review seasonal folders, even when most contributors are temporary.

Close the season deliberately

Set a date to review access after seasonal work ends. Check event collaborators as well as staff accounts, and confirm how next season’s team will find useful records. A brief handover note about unfinished supplier or organiser conversations can save more time than a large archive nobody understands. Test access using an ordinary staff account before onboarding the next group.
