An event organiser should not have to know which employee is on shift to get an answer. A shared events address can support continuity, provided the team knows who is responsible for each conversation and where replies belong.

Design the coverage first

List who handles initial enquiries, quotations, and confirmed-event details. Agree on a backup for busy periods and days off. Decide how a conversation moves from enquiry to booking without relying on a verbal handover. Keep working notes clear enough that a colleague can understand the next step without reading months of unrelated messages.

Give staff individual access

A Microsoft 365 shared mailbox can let selected staff use a common events address through their own accounts. Confirm permissions and licensing with your administrator. Before the next season, run a complete test from enquiry through reply and internal handover.
