Training notes, supplier details, staff procedures, and team calendars all need a home. A shared workspace can make routine administration easier, but it should begin with a decision about what belongs there and who needs access.
Start with ordinary operating information
Build the first structure around non-patient materials such as equipment instructions, approved office templates, and internal procedures. Name an owner for each area so outdated documents do not become the default. Keep patient systems and sensitive records outside this initial exercise until the clinic has reviewed its requirements and chosen an appropriate information-handling approach.
Give roles the access they need
Review administrative responsibilities and match file access to them. Avoid using one shared staff login as a shortcut. Team-owned shared drives can help retain operating files when staff leave, where supported by the Workspace edition. Confirm whether external sharing is needed at all for each area, rather than carrying forward old links automatically.
Make the handover part of the workflow
Show staff where the approved procedure lives and how to report an outdated copy. Review access when reception or administration roles change. Test with an ordinary user, not just the administrator, to catch confusing permissions. This is an operational organisation exercise; using a particular product alone does not establish that a clinic’s privacy obligations have been met.
