Reception work depends on continuity. Staff need the right information to do their jobs, while the clinic needs to understand who can access business accounts. Start with ordinary administrative workflows and review sensitive systems separately.
Map the daily tasks
List the email addresses used for suppliers, general enquiries, and internal administration. Identify which accounts belong to individuals and which represent a clinic function. Do not assume every shared computer should use one shared identity. Ask the clinic’s responsible person to define access requirements before changing any arrangement that touches patient systems or records.
Review sign-in and recovery
Multifactor authentication adds another verification step to Microsoft 365 sign-in. Plan registration, device changes, and recovery support with the staff who will use it. An administrator should review the available configuration options and existing policies. Avoid collecting verification codes through a shared inbox or asking staff to approve prompts they did not initiate.
Make staff changes predictable
Create a short checklist for new starters, temporary cover, and departures. Include individual accounts, agreed shared resources, and any connected applications. Test access with fictional administrative examples rather than patient information. Keep a record of the decisions and responsible people. A product configuration does not, by itself, establish that the clinic has met its information-handling obligations.
