A golf course can have several conversations happening at once: a tournament organiser waiting for a package, a member asking about renewal, and a guest expecting a booking email. Those messages may leave through completely different systems.
Map the messages that matter
Start with three journeys: an event enquiry, a booking confirmation, and a membership conversation. For each, write down the tool that sends the email and the address customers see. Include any seasonal events platform. A successful message from the clubhouse does not prove that the tournament system is configured correctly. Keep a sample from each journey for a focused review.
Follow up without overwhelming the recipient
If an organiser has not replied, confirm receipt by phone rather than repeatedly sending the same attachment. A clear link to a current event package may be more useful than multiple file versions, but changing the format is not a substitute for checking delivery. Keep operational messages and promotional mail easy to distinguish, with an obvious sender and purpose.
Test before the busy period
Use the quieter part of the season to review the sending inventory, staff responsibilities, and reply addresses. Check that enquiries reach someone when the usual events contact is away. Authentication and sender reputation influence delivery; no provider can promise that every proposal reaches the primary inbox. Track actual missed messages instead of assuming that a lack of replies is a technical fault.
