A form confirmation only tells you what the website displays. It does not prove that an enquiry reached your business. A broken delivery path can leave customers waiting while you have no idea they contacted you.
Follow one enquiry from start to finish
Submit a clearly labelled test with a unique reference, such as the date and time. Check whether the form system stores a submission, whether its sending service accepted the message, and whether the receiving mailbox received it. Some forms do not save copies at all. Ask the person responsible for the website which records exist before relying on a confirmation screen.
Separate sending from replying
A useful notification can come from an address your business controls, with the visitor’s address used for the reply action. Trying to send as an unrelated visitor’s domain can create authentication problems. The correct setup depends on the form and sending platform. Have the sender identity reviewed rather than copying a generic configuration into a live site.
Give the enquiry an owner
Confirm who monitors the destination mailbox and who covers absences. Old staff addresses, forwarding rules, and crowded spam folders can all obscure an otherwise successful delivery. Test from a phone as well as a desktop. After any form or email-provider change, repeat the complete customer journey and document where enquiries should appear.
