When several people look after a portfolio, the answer to a simple question should not depend on finding the one person who saved the document. A clear Workspace structure can help the team know where approved information belongs.

Separate portfolio information from daily coordination

Decide which records belong to the business, which are property-specific, and which are temporary working notes. Use a consistent naming pattern for property folders. Keep contractor-facing material separate from internal or tenant-related records. Before moving existing files, choose an owner to decide what is current and what needs to be archived.

Design the handover before sharing

Team-owned shared drives can support continuity when staff change. That does not remove the need to set permissions deliberately. Map who needs access across properties and who only needs a limited set of documents. A contractor should receive the information needed for the task through an agreed process, not automatic access to the whole property folder.

Review what happens when responsibilities change

Test a handover with a sample property: can the replacement manager find the current operating information without asking the previous manager? Check that old collaborators no longer have unnecessary access. Record any exceptions, such as an ongoing project with an outside supplier. Revisit the structure when your portfolio changes rather than letting one-off sharing decisions become permanent.
