A maintenance email can be read by several people and still have no clear owner. The problem is not always delivery. Sometimes the team needs a better way to identify who is responding and what should happen next.

Define the boundary of the mailbox

Decide whether the address receives new requests, contractor updates, or both. Keep your formal work-order process separate and clear; an inbox alone may not provide the tracking the business needs. Identify the point at which an email becomes a task in the system of record. Tell staff where to find the current status rather than maintaining competing lists.

Configure coverage deliberately

A shared Microsoft 365 mailbox supports access through individual staff accounts. Check permissions and licensing for the intended users. Agree on a consistent reply identity and whether sent replies are visible to colleagues. Limit access to people with a working need, particularly where messages could contain information about residents or property access.

Test absence and handover scenarios

Use a fictional request to check what happens when the usual manager is away. Who acknowledges it, who records it, and who confirms completion? Review mailbox permissions when portfolios move between managers. Also check automatic forwarding and contractor notifications, which may continue pointing at a former employee even after the public address has been updated.
