A manufacturer in Stoney Creek shares a job folder, yet a colleague cannot open one drawing inside it. Sending another copy by email creates competing versions. The problem may be the signed-in account, a linked file outside the folder or a permission boundary rather than a broken document.

Identify the exact resource and account

Ask the affected colleague for the file URL and the account shown in Google Drive, using a non-sensitive screenshot if necessary. Try opening the link while signed into the intended work account. Distinguish the folder from the file itself: a shortcut points somewhere else and does not by itself grant permission to the target. Record who actually owns the original.

Choose a stable home for team work

Files in shared drives belong to the team instead of an individual and remain when a member leaves. Check whether your Workspace edition and administrator settings support the intended setup. Organise production documents around responsibilities, with a small pilot folder first. Keep confidential supplier pricing separate from documents that operators and external contractors need to read.

Repair access at the right level

Have the drive manager or administrator inspect the target’s sharing settings and the colleague’s membership. Grant only the role needed for the work; do not choose public link access as a quick workaround. Review external-sharing restrictions if a supplier is involved. Before moving an active file, record its current sharing and check links used by other teams.

Verify from the recipient’s perspective

Ask the colleague to open, read and, if required, edit the actual document using their own account. Test a user who should not have access as well. Confirm the old email attachment is no longer treated as the master. Document the file location and approval owner so the same access problem does not return with the next staff change.
