Property managers send everyday maintenance updates, owner reports, and appointment messages. When a recipient says a message is missing, the business needs a repeatable way to investigate. A sent-items folder is only one part of that picture.

Separate the different communication routes

Identify whether a message came from a staff mailbox, property-management platform, or contractor coordination tool. Record the destination address and the property reference without exposing unnecessary tenant information. A system-generated notice may follow a different path from a personal reply. Keep a record of the channel used and any failure notification the system provides.

Give failed messages somewhere to go

Check which inbox receives bounce notices and who reviews it. An unattended return address can hide a recurring issue. When a recipient changes their address, update the relevant source system rather than only one staff member’s contacts. Ask for an authentication review if failures started after introducing a new platform or changing domain settings.

Keep delivery and process responsibilities distinct

A technical delivery check cannot determine whether a particular communication meets a contractual or legal notice requirement. Use your established business process for important notices and seek appropriate advice where required. For routine communications, agree on an alternate contact route and document follow-up. This reduces uncertainty while the delivery issue is investigated.
